Who Can Edit or Manage Tellspin Schedules?

Tellspin's Permission Model

Tellspin's permissions are designed to be simple and secure, leveraging Slack's own administrative roles. Understanding who can perform which actions is key to managing your on-call schedules effectively.

Role 1: The Schedule Creator

The user who initially creates a schedule is its owner. By default, only the owner can:

  • Edit the schedule's participants, timing, and timezone.
  • Delete the schedule.
  • Add, edit, or delete reminders for the schedule.

This prevents unauthorized users from making changes to a team's on-call rotation.

Role 2: Slack Workspace Admins/Owners

Users with Workspace Admin or Owner roles in Slack have elevated privileges in Tellspin. They can edit or delete any schedule within the workspace, regardless of who created it. This ensures that schedules can always be managed, even if the original creator leaves the company.

Can Other Users Edit a Schedule?

By default, regular users (non-admins) cannot edit schedules they did not create. If a user attempts to edit a schedule they don't own, they will see a message indicating they lack the necessary permissions.

However, a schedule's creator or a Slack Admin can assign other users as Rotation Managers. A Rotation Manager has full permission to edit that specific schedule.

To add a Rotation Manager:

  1. As the creator or a Slack Admin, find the schedule in the App Home.
  2. Click the three-dot menu (...) and select Edit.
  3. In the Rotation Manager dropdown, select the user you want to grant edit access to.
  4. Click Save.

How to Transfer Ownership of a Schedule

If a schedule's creator leaves the company or changes roles, a Slack Workspace Admin needs to take action to ensure the schedule can still be managed.

There are two primary options:

  1. Admin Takes Over: The Slack Admin can directly edit the schedule as needed.
  2. Assign a New Rotation Manager: The Slack Admin can edit the schedule and assign a new team lead or member as the Rotation Manager, delegating management responsibility to them.
